How we look after the information you share with us.

Soma Wellbeing Centre (“we”, “us”, “our”) is committed to protecting your privacy. This policy explains what personal information we collect when you use our website or contact us through our forms, how we use it, and the rights you have over it. We are the data controller for the information you share with us.

1. The information we collect

When you get in touch through our contact form or our room-hire enquiry form, we collect the details you choose to give us. This typically includes:

  • Your name;
  • Your email address and, if you provide it, your phone number;
  • The content of your message, for example the treatment you are interested in, your preferred times, or, for practitioners, details about your practice, qualifications and the days or facilities you need.

Our website host and security tools may also automatically record limited technical information, such as your IP address and browser type, which is used to keep the site running and secure.

2. How we use your information

We use the information you give us only to:

  • Respond to your enquiry and answer your questions;
  • Arrange and discuss treatments, appointments and room-hire bookings;
  • Keep a record of our correspondence with you.

We will not use your details for marketing without your clear consent, and we never sell your personal information.

3. Our lawful basis

Under UK data protection law (the UK GDPR and the Data Protection Act 2018), we rely on your consent, given when you submit a form, and on our legitimate interests in responding to enquiries and running the centre. Where you go on to become a client or hire a room, we may also process your information to fulfil our agreement with you and to meet our legal obligations.

4. Who we share it with

We do not sell or rent your data. We share it only where necessary to respond to you or to run our website, including with:

  • The individual practitioner your enquiry relates to, so they can reply to you;
  • Trusted service providers who help us operate the site and communicate with you, such as our website hosting provider, our email provider and our form software. These providers act on our instructions and are not permitted to use your data for their own purposes.

5. Reviews and third-party content

Customer reviews shown on our site are provided by Google and displayed through a third-party widget. When you view pages containing this content, Google may collect information in line with its own privacy policy. We do not control that data.

6. How long we keep it

We keep enquiry details only for as long as we need them to deal with your enquiry and for our legitimate business and legal purposes. Enquiries that do not lead to a booking are normally deleted within 24 months. Where you become a client, we may keep relevant records for longer to meet our legal and accounting obligations.

7. Your rights

You have the right to ask us to:

  • Access the personal information we hold about you;
  • Correct information that is inaccurate or incomplete;
  • Delete your information, or restrict or object to how we use it;
  • Receive a copy of your information in a portable format;
  • Withdraw your consent at any time.

8. Cookies

Our website uses a small number of essential cookies needed for it to function, and may set additional cookies through third-party content such as embedded reviews or maps. You can control or delete cookies through your browser settings.

We may update this policy from time to time. Any changes will be posted on this page with a revised “last updated” date.
